Main Responsibilities & Duties


1.0 Receiving Equipment in CMS:


  • Receive In-lab units from the logistics team, verify the gate pass, and record the units.
  • Transfer the equipment details into the CMS (Calibration Management System) and verify all related information for accuracy.


2.0 Uploading Purchase Orders (PO):


  • Upload all relevant Purchase Orders (POs) into the CMS to ensure proper documentation and tracking of received units.


3.0 Unit Updates:


  • Update customer units in the CSR KL system to maintain up-to-date records.


4.0 Walk-In Customer Units:


  • Receive units from walk-in customers, check the details, and ensure all information is accurately recorded into the CMS.


5.0 Tracking KL Units:


  • Regularly update and maintain records of KL units to ensure accurate tracking and inventory status.


6.0 Double-Check PO for Invoicing:


  • Cross-check Purchase Orders against invoiced amounts to confirm accuracy and flag any discrepancies.


7.0 Filing PO Documentation:


  • File hard copies of blanket POs and other purchase order documentation in an organized manner for easy retrieval.


8.0 Communication with Courier Service:


  • Maintain effective communication with courier service teams to coordinate incoming deliveries and resolve any logistical issues.


9.0 Passing PO to Accounts Department:


  • Forward blanket PO hard copies to the accounts department for processing and financial documentation.


10.0 Communication with CSR & QA Teams:


  • Email the list of units received each day to both the CSR and QA teams for their tracking and reference.


11.0 Create New Equipment Entries:


  • For new equipment not yet recorded, create entries in the CMS and initiate the


receiving process to ensure proper documentation and traceability.


12.0 Coordinate with Tech and Engineering Teams:


  • Communicate with technical personnel and engineers to clarify equipment details,


resolve issues, and support technical verification when needed.


Qualification


  • Minimum SPM or equivalent
  • Preferably Certificate/Diploma in Logistics, Supply Chain, Business Administration, or a related field
  • Basic computer skills (e.g., Microsoft Excel, email handling)
  • Fresh graduates are encouraged to apply
  • Experience in inventory or warehouse handling is an added advantage
